Staff Assistant II Job Description

Job Summary

This full-time, union level II, position conducts and performs the daily activities in support of policies and procedures in the Office of Admissions Records. This person reports directly to the Operations Manager in the Office of Admissions Records.

Hours of work:

  • 9:00 a.m. to 5:30 p.m. – four (4) days per week
  • 11:00 a.m. to 7:00 p.m. – one (1) day per week

Hours may vary based on departmental and/or College needs and activities, including but not limited to the following examples: orientation, graduation, off-site program activities, formal meetings and some weekends.

Essential Duties/Responsibilities

  • Perform admissions processing of all candidates and prospective students
  • Maintain accurate admissions records, manually and electronically, including all lists and reports
  • Validate and manage record transfers to centralized files
  • Manage and perform all communications effectively and timely with students, colleagues, and other departments
  • Maintain professional standards in a collaborative team environment
  • Provide support to other office staff as needed
  • Other related duties as required.

Other Duties/Responsibilities

  • Meet with students when required
  • Ensure accuracy of School Collaborations student data
  • Perform data entry for all student inquiries
  • Participate in other College events and activities when necessary
  • Provide updated information to Operations Manager.

Education & Experience Required

  • HS Diploma/GED required. Bachelor’s degree preferred
  • Minimum of three (3) years of office and clerical experience, preferably in an academic environment; or a combination of education and experience as determined by the College and supervisor for the job
  • Demonstrated facility and skills with standards computer software packages and/or basic data management software
  • Demonstrated customer service orientation and communication skills and the ability to work well as a team member
  • Business writing skills preferred

Skills & Knowledge Required

  • Proficient in Microsoft Office, Outlook and Jenzabar (or similar academic data management system)
  • Skilled in managing multiple tasks and responsibilities
  • Excellent organizational and problem solving skills
  • Effective contributor in a diverse environment
  • Thorough understanding of higher education admissions processes and procedures.
  • Ability to follow the expectation of treating fellow employees, students and the institution’s guests with civility, and to refrain from activities that disrupt the efficient functioning of the college.
  • Ability to follow directions and complete tasks accurately as well as accept supervisory input and constructive criticism.
